Guide to send your passports to CPC Ottawa from USA after you get PR approved

 If you are in USA, CPC Ottawa issues one time entry Visa and your COPR after your PR is approved. Once the PR is approved every applicant gets the request to submit the following documents :

  • Individual passports of Primary applicant and Secondary applicant.
  • 2 Photographs per each applicant (As per the Guidelines of Canadian Immigration Authority)
  • Signed Annexure A (Received along with the Passport request letter)
Note - VFS Global is not suggested by IRCC for Passport submission cases after PR approval. The request letter will specify to use courier service of your choice. Do not worry, this works well.

Purchasing the Courier

This needs to be done in 2 phases. You should keep in mind that Fedex office cannot create return international shipment. You should do that online. So we will distribute this section in 2 parts and buy the return label first :

Buying the return label

  1. Create account on Fedex Ship manager.
  2. Under "From" section, enter the following information :
    • First Name : CPC-Ottawa | PR-TR Printing.
    • Company : Empty
    • Country : Canada
    • Street Address :365 Laurier Ave West
    • APT/Suite : Empty
    • Postal Code : K1A 1L1
    • City : Ottawa
    • Province : Ontario
    • Phone - Enter your second number (Do no use IRCC number)
    • Email - Enter your email (Do not Use IRCC details)
    • Tax ID - Empty.
  3. Under "To" section, enter the following information :
    • Your address.
    • Your contact details
  4. Now enter the package details :
    • Item - Fedex Envelope
    • Weight - 0.2 Kg
    • Carriage Value - 1 USD. Where ever you need to provide the value of package, just mention 1 USD as it is a personal document.
  5. Ship Date - Choose any date in advance. You can do that after 2-3 days as well. Do not worry if they are ready after 1 month, same label will work. If you put a date after 10 days and they are ready before 10 days, they won't be able to ship. So a date of 2-3 days ahead is recommended.
  6. For Pick Up - Use the option to Use Already Scheduled pickup. Note - DO NOT CHOOSE OPTION TO SCHEDULE THE PICKUP.
  7. Proceed to next page and enter your payment details and confirm the label.
  8. Print the confirmation along with 2 copies of commercial invoice. This is very important.
  9. Your return label is ready now.

Buying the shipping label

  1. Go to Courier service of your choice, Fedex recommended.
  2. Ask for the international shipment and provide following address :
    • CPCO – PR VISA
      US Permanent /Temporary Residence VISA/Passports
      365 Laurier Av. West
      Ottawa ON
      K1A 1L1
  3. Due to limited word length, enter CPCO – PR VISA” under ‘Name’ and “US Permanent/Temp Residence Visa/PP” under ‘Company’.
  4. Pay the fees and ask for the commercial invoice.

Important about Commercial Invoice

This is very important document, if you miss it your package will expect delays. If CPC Ottawa does not have the commercial invoice for return label, they will not be able to send back your passports. They will reach out to you and ask for the same.

Preparing the Shipment

  1. Take the print out of the Passport Request letter.
  2. Fill the details in Annexure A.
  3. Get 2 Photographs per applicant.
  4. Get one Plastic Pouch that can accommodate. This will ensure to safeguard your documents during the transit.
  5. Cover Letter stating what documents you are sending. This is not required but I added in mine.
  6. Add empty package for return (This will be used by CPC Ottawa for sending back your documents)
  7. Commercial Invoice - This is very important. For any international shipment this will let your package go through the customs process.
  8. Add the return label along with the commercial invoice (As instructed above) into the package you are sending. CPC Ottawa will receive it and will use it while sending back your passports.

My Personal Experience

I was bit worried in sending the passports myself to Canada. I am in USA on Non Immigrant visa and not a citizen here and hence was wondering what would happen if I loose my passport. These questions are pretty normal but you should not worry about this. I opted for Fedex as my courier and got the Photographs from CVS pharmacy. I purchased return label online and went to Fedex office, purchased the shipping label and packed my documents along with return shipping label in padded envelope.

FAQs

Is it safe to send passports from USA to Canada using Fedex or UPS

Yes it is absolutely safe. When you get the request first time it is very normal to get worried about lossing the passport. Same happened with me, but after contacting IRCC infinite times I was unable to change the destination to New York or Los Angeles Embassy and hence I dared to proceed further. But after all the worry and efforts, it went smooth. Make sure you keep digital copies of the documents.

What is better for Sending the passports to CPC Ottawa - UPS or Fedex

Both are equally good, but I recommend Fedex and only Fedex. I also used the same for my proces. Moreover, this is also recommended on official IRCC website.
